The photo archives can supply high quality digital files or make custom fine art prints of many items in our collection.
The process is simple:
- First, identify the negative number of the image you want.
- Then, complete the Online Photo Order Form to request a digital file or custom print.
- Finally, complete the Permission to Use Form if you plan to use the image for publication or public display.
We'll contact you with your final invoice.

Conditions for Reproduction / Publication Policy
1. Written permission to reproduce or publish images must be secured from the Palace of the Governors Photo Archives. Permission is typically granted for a one-time, one edition use, at the specified print run, worldwide. As property of the State of New Mexico and the Museum of New Mexico Board of Regents, all rights, including those of further reproduction and/or publication, are reserved in full by the Palace of the Governors Photo Archives and New Mexico History Museum.
2. Photographic reproductions should be made as faithful and accurate to the original as possible. Minor cropping and exposure adjustments are acceptable, as is minor editing work to remove dust or creasing. Requests for significant adjustments (cropping that changes context, colorization, collage or other manipulation) must be made in writing. Details from a larger frame must be identified as such in the caption.
3. A credit line is required
Proper credit is mandatory. Unless otherwise specified, reproduction credits must include:
- Photographer or creator (if known)
- Credit to the Palace of the Governors Photo Archives (NMHM/DCA)
- Negative Number (or other item number)
Our preferred caption format reads as follows:
Creator (if known). Title or description, date. Courtesy of the Palace of the Governors Photo Archives (NMHM/DCA), Collection (if known), Negative No. 000000.
The credit line should appear in
- Printed matter: it is preferred that credit line appears on same or facing page as illustration or with other “Sources of Illustrations.” Each individual image must be credited.
- Film and video: while credit with the image is preferred, it is also acceptable in end credits with other “Sources of Illustrations.”
- Exhibitions: show credit line(s) within exhibition area, preferrably on nearest label.
- Electronic use: credit line must appear next to the image and in the image properties. Image cannot exceed 800 pixels on the longest side.
4. Publishers shall furnish the Palace of the Governors Photo Archives, without charge, one copy of each publication where reproduction appears.
5. Payment must be made in U.S. dollars at the time of order. Checks should be made payable to the STATE OF NEW MEXICO. Credit Card orders via phone only. State Agencies can pay via OPR.
NOTE:
Permissions are for the use of our digital scans or reproductions, which doesn’t necessarily resolve all copyright claims. Much of our collection includes material owned by us, or material given to us by the photographers and their families, or works for hire by the Museum of New Mexico or by other state agencies which have transferred them to us, as well as works that are no longer under copyright restrictions. However, some material may require additional diligence.
Ethical use of historical materials and tribal consultation, when applicable, is encouraged, but not managed, by Photo Archives.
We may refuse to grant use permission for material under known copyright restriction, for sensitive and ceremonial subject matter, for material under restriction by the donor, or for uses where the image will be manipulated or grossly miscontextualized.
THE PALACE OF THE GOVERNORS PHOTO ARCHIVES GIVES NO EXCLUSIVE RIGHT TO ANY PUBLISHER, AUTHOR, OR PHOTOGRAPHER AND ASSUMES NO RESPONSIBILITY FOR DUPLICATION OF SUBJECTS BY OTHERS AND NO RESPONSIBILITY FOR CLAIMS BY THIRD PARTIES.
